Preservation of your privacy is very important to the RIBA and it partners (Oxlink Ltd, trading as Purple Frog and 'Mirza & Nacey Research Ltd, trading as The Fees Bureau'), who deliver the benchmarking service. We are committed to protecting the rights of users in relation to their personal information and confirm that all personal information submitted by the User to this Site will be processed in accordance with the principles of the General Data Protection Regulation under this Privacy Policy.

For the purposes of the General Data Protection Regulation, partners who deliver this service confirm that:

• The proprietor of the Site is Oxlink Ltd, trading as Purple Frog, whose registered office is at John Eccles House, Robert Robinson Avenue, Oxford Science Park, Oxford, OX4 4GP, United Kingdom. Purple Frog is registered with the Office of the Information Commissioner under registration number Z5395042. Users may contact Purple Frog in relation to data protection matters at david.finch@purplefrog.co.uk.
• Purple Frog processes Users' data for the exclusive purposes of providing the RIBA Benchmarking Service.
• Data entered into this system is hosted by Purple Frog Ltd on their secure servers. They have access to it for maintenance purposes but do not have permission to nor do they share information with any third-party organisation.
• Purple Frog only shares data collected through this site with The Fees Bureau who use anonymised data to produce the benchmarking report and the on-line reporting service. Purple Frog does not share contact information; all data that is shared with The Fees Bureau is done so without linking it to the practice.
• Purple Frog seeks to implement safe technical and operational measures, where its activities include the processing of personal data.

Communication

Communications in connection with these Terms of Use and the Site may be by way of letter posted to Information Centre, RIBA, 66 Portland Place, London W1B 1AD, United Kingdom or email to DPO@riba.org. For ease of use and compatibility the RIBA will not encrypt emails, except those relating to payments, unless the User expressly asks the RIBA to do so. If a User would like the RIBA to encrypt emails sent to that User, the User should provide the RIBA with the necessary certification to enable the RIBA to do so. Email, unless encrypted, is not a fully secure means of communication.

Changes

The RIBA and Purple Frog take pride in keeping up-to-date with advances in technology and legal developments. As these areas are ever changing, the RIBA recommends that the User refers to this area of the Site on a regular basis in order to ensure that the User is aware of the RIBA and Purple Frog's most recent Terms of Use, the RIBA's Privacy Policy and other policies.

All data submitted by your practice will be held in a secure database. Oxlink Ltd, trading as Purple Frog as a registered Data Controller will adhere to all relevant legislation and good practice particularly that set out in the Data Protection Act. This data will not be disclosed to the RIBA or any other third party in a format that links data to individual practices or individuals. It will be used to generate averages and other statistics for reporting. Similarly your practice specific benchmarking report remains confidential to your practice. Whilst every effort is taken to maintain the validity and accuracy of reports and information, the RIBA nor its suppliers accept no liability for errors in that data or decisions based on it.
